Booking software for massage therapists
Most massage therapists work alone, from a clinic room, a home studio or a car boot full of towels. You need a booking link that handles a 75-minute initial and a 45-minute follow-up as different things, keeps 15 minutes between clients, reminds people the day before, and nudges regulars back at four to six weeks. TimeToBook does that and is free for one therapist.
Free for one staff member. No card needed. Last updated 28 October 2026.
The short version
TimeToBook suits solo and small-team massage therapists (remedial, sports, relaxation, pregnancy) who want online booking, reminders, client notes and rebooking prompts without a monthly fee or marketplace commission. It has no intake forms and no travel-time calculator for mobile work; your own form and a longer buffer cover both. A remedial massage therapist in New Zealand has used it since 2026 and reports more new clients from the booking link.
Massage therapists by the numbers
Figures we use when we talk to massage therapists. Every one links to where it came from.
- 27%
- Of first-time massage clients book a second visit. Once they have been back twice, more than 55% keep rebooking.
- 4 to 6 weeks
- The maintenance interval therapists recommend between massages when nothing is injured; 2 weeks in hard training.
- 32%
- Of New Zealand massage therapists work from their own home, with 10% mobile and half in professional rooms.
- 5%
- First-visit no-show rate for massage. Prepayment cuts it, but also turns away about half of prospective first-timers.

What massage therapists need from booking software
The problems that come up every time we talk to massage clinic owners, and what TimeToBook does about each one.
| The need | How TimeToBook handles it |
|---|---|
| Initial consultation and follow-up as different services | List "Initial consultation and treatment, 75 min" and "Follow-up, 45 min" as separate services with their own prices. Tell new clients to book the initial in the description. TimeToBook does not know whether a client is new when they book, so a returning client could still pick the initial; you will see their history on the booking. Feature details |
| Fifteen minutes between clients, every time | Buffer time on each service blocks the turnaround so nobody can book into it. A 60-minute treatment with a 15-minute buffer takes 75 minutes on the calendar, and the next online start time is after the buffer. Feature details |
| Health history before the first appointment | TimeToBook has no intake forms. Therapists on TimeToBook put a link to their PDF or online form in the confirmation message template, then record contraindications, medications and pressure preferences in the client's notes, which appear on every booking. If your insurer needs signed digital consent inside the booking flow, that is the one thing to check first. Feature details |
| Pregnancy massage only after 12 weeks | Put the rule in the service description where clients see it before they book, and ask the question in your intake. The booking page has a notes field clients can use to tell you how far along they are. Feature details |
| Mobile work with travel between clients | There is no travel-time calculator. Mobile therapists set a longer buffer on the home-visit service (30 minutes covers most suburban drives) and ask for the address in the booking notes field, which clients fill in when they book. The address visibility setting lets you hide your own address from the booking page entirely. Feature details |
| Regulars who drift past six weeks | Set a rebook interval on each service. When a client has gone that long without booking again, TimeToBook Plus emails them a short reminder with a one-tap link that pre-selects their usual treatment. For clients on a plan, repeat bookings put the whole series on the calendar in one go. Feature details |
| Reminders that reduce the forgotten 2pm | Email reminders are automatic and free. SMS reminders go 24 hours before on prepaid credits. Clients can cancel themselves from the manage link inside your notice window, and no-shows are marked on the client record. Where online payments are available, you can require a deposit on the initial consultation only, which is where most no-shows happen. Feature details |
A massage clinic service menu, as TimeToBook stores it
Every service in TimeToBook has a duration, optional processing time (hands-off time another client can be booked into), optional buffer time (clean-down nobody can book into), a price, and a rebook interval that drives automatic rebooking reminders. Here is a typical massage clinic menu set up that way. Durations are typical, not rules; adjust them to how you actually work.
Buffers are the linen change and notes between clients. Rebook intervals follow therapist guidance: fortnightly for athletes in training, 4 to 6 weeks for maintenance. The home visit's longer buffer stands in for travel time, which TimeToBook does not calculate.
| Service | Duration | Buffer | Rebook |
|---|---|---|---|
| Initial consultation and treatment New clients | 75 min | 15 min | – |
| Follow-up, 30 min | 30 min | 15 min | 3 wks |
| Follow-up, 45 min | 45 min | 15 min | 4 wks |
| Follow-up, 60 min | 60 min | 15 min | 5 wks |
| Follow-up, 90 min | 90 min | 15 min | 5 wks |
| Sports massage, 60 min | 60 min | 15 min | 2 wks |
| Hot stone massage, 60 min | 60 min | 20 min | 6 wks |
| Pregnancy massage, 60 min After 12 weeks | 60 min | 15 min | 4 wks |
| Seated massage, 15 min | 15 min | – | – |
| Home visit, 60 min Buffer covers travel; address in booking notes | 60 min | 30 min | 5 wks |
What TimeToBook costs a massage clinic
The first staff member is free, forever. Each additional staff member is $10 a month. No marketplace commission, no contract.
Solo massage clinic
Free
One bookable person. Online booking page, calendar, email reminders and confirmations, client records, the mobile app. Not a trial.
Two-therapist clinic
$10/month
2 bookable staff: the first is free, then 1 × $10. Two therapists sharing one booking page and calendar, each with their own hours and services.
SMS reminders
Prepaid credits, $ per 100. They never expire. Email reminders are free and unlimited.
Deposits
Online deposits are not yet available in your region. Email and SMS reminders, plus client self-cancellation, do most of the no-show work in the meantime.
No marketplace commission
Nobody takes a cut of a booking made through your page, and your clients are your clients. The only per-transaction fee is on payments taken through TimeToBook, where that is available, and it includes card processing.
Is TimeToBook right for your massage clinic?
Simple on purpose. Here is who it suits best, and the few things we leave out.
A good fit if you…
- Work alone or with one or two other therapists, from a clinic room, home or mobile
- Want a booking link for your website and Google listing that clients can use at any hour
- Want 15-minute turnarounds enforced online without blocking them by hand
- Want regulars nudged back at 4 to 6 weeks without a newsletter tool
- Are happy to keep health history on your own form and in client notes
What we don’t do
- Intake and consent forms signed inside the booking flow
- Travel-time calculation between mobile appointments (a longer buffer stands in for it)
“As a remedial massage therapist running my own clinic, I tried several online booking systems before finding Time to Book. It's straightforward to use, easy to customise, and far less complicated than other systems while still offering all the features I need. My clients find it user-friendly, and since adding the booking link to my website, I've noticed an increase in new clients.”
Questions massage therapists ask us
-
Can new clients book a longer initial appointment?
- Yes. List the initial consultation as its own service with a longer duration and its own price, and say in the description that it is for first visits. TimeToBook cannot tell whether a client is new when they book, so occasionally a regular picks it; their history is on the booking and you can switch the service.
-
Does TimeToBook have intake or health history forms?
- No. Most therapists link their existing form from the confirmation message and keep the important details (contraindications, medications, areas to avoid, pressure preference) in the client's notes, which show on every booking. If a signed digital form inside the booking is a must, check that first.
-
How do I keep 15 minutes between appointments?
- Set buffer time on each service. Nobody can book into the buffer online, and when you add a booking yourself the calendar shows the buffer under it so you do not overlap. Buffers are per service, so a 30-minute seated massage can have less.
-
I do home visits. How do I handle travel time and addresses?
- Give the home-visit service a longer buffer (30 minutes covers most suburban drives) and ask for the address in the booking notes field, which clients fill in when they book. TimeToBook does not calculate travel time between addresses or limit bookings to a radius. You can hide your own address from the booking page.
-
Can I require a deposit for first appointments only?
- Yes, with TimeToBook Plus where online payments are available in your region. Require a deposit on the initial consultation service and leave follow-ups without one. The deposit is refunded automatically if the client cancels inside your notice window and kept if they do not show.
-
Can clients see the booking page without my home address?
- Yes. Address visibility is a setting: show the full address, the general area (city and region) only, or nothing. Clients who book still get the full address in their confirmation, so only people with an appointment see where you are.
-
Does TimeToBook integrate with ACC or Southern Cross?
- No. TimeToBook is a diary and booking page, not a practice-management or invoicing system. Therapists who bill ACC or health insurers note the claim details in the client record and invoice from their accounting software.
-
Is it free for a solo therapist?
- Yes, with no time limit. One bookable person gets the booking page, calendar, email reminders and confirmations, client notes and the mobile app for nothing. You pay only when you add a second therapist, buy SMS credits, or choose TimeToBook Plus for rebooking reminders, repeat bookings and deposits.
