Booking software for day spas

Booking software for small day spas

A day spa books longer treatments with real turnaround between them, sells more than one treatment per visit, and loses more to late cancellations than to no-shows. TimeToBook handles the long appointments, the 15-minute room reset, multi-treatment bookings and deposits, and sends the reminders. Treatment rooms are set up as bookable resources so they never double-book. It does not book couples online or sell spa-day packages, and this page says so plainly.

The short version

TimeToBook is a sensible choice for a small day spa or wellness studio with one to about six therapists that mostly sells single treatments and wants simple online booking, reminders and deposits without per-booking commission. A spa built around couples treatments, spa-day packages and gift vouchers will want a spa-specific system for those; most small spas do not need one.

What spa owners need from booking software

The problems that come up every time we talk to day spa owners, and what TimeToBook does about each one.

Room reset between treatments Give each treatment buffer time and nobody can book into it. A 60-minute massage with a 15-minute buffer occupies 75 minutes on the calendar and the next online slot starts after the reset. Buffers are per service, so a 30-minute scalp massage can carry 5 minutes and a body wrap 20. Feature details
Massage plus facial as one visit Clients add several treatments to one booking and TimeToBook totals the time, including buffers, and only offers start times where the whole visit fits with one therapist. One confirmation, one reminder, one calendar block. It is a multi-treatment booking, not a package: each treatment is priced individually and there is no package discount or set-menu price. Feature details
Couples and double suites TimeToBook cannot book two therapists on one appointment, so couples treatments are not bookable online. Spas list "Couples massage" as a service that is not bookable online, take it by phone or email, and enter two bookings side by side. If couples are most of your trade, that is worth knowing up front. Feature details
Treatment rooms as a second resource Set each room up as a bookable resource, the same way you add a therapist, offering the treatments done in that room. The room then cannot be double-booked, has its own column on the calendar, and clients book its time online. Each resource is priced like a staff member. Feature details
Deposits and a notice window that bites Deposits are set per treatment, fixed or a percentage up to full prepayment, refunded automatically for cancellations inside your notice window and kept otherwise (TimeToBook Plus, where online payments are available). The notice window is one setting for the whole spa, so you cannot give packages 48 hours and single treatments 24. Feature details
Health history before the first visit TimeToBook has no intake forms. Send your form as a PDF with the confirmation (message templates can carry a link) and record the answers in the client's notes, which appear on every booking. If your insurer needs signed digital consent inside the booking flow, that is the one thing to check first. Feature details
Therapists with different skills, hours and days Each treatment is assigned to the therapists who do it. Each therapist has their own hours, a week A and week B rota if you need it, time off, and their own app login. Clients pick a therapist or "any available". Feature details

A day spa service menu, as TimeToBook stores it

Every service in TimeToBook has a duration, optional processing time (hands-off time another client can be booked into), optional buffer time (clean-down nobody can book into), a price, and a rebook interval that drives automatic rebooking reminders. Here is a typical day spa menu set up that way. Durations are typical, not rules; adjust them to how you actually work.

Processing time on the facial and wrap is the mask or cocoon stage the therapist can step away from; buffer time is the room reset. A half-day package is booked as the individual treatments added to one booking, at their individual prices.

What TimeToBook costs a day spa

The first staff member is free, forever. Each additional staff member is $10 a month. No marketplace commission, no contract.

Solo day spa

Free

One bookable person. Online booking page, calendar, email reminders and confirmations, client records, the mobile app. Not a trial.

Four-therapist spa

$30/month

4 bookable staff: the first is free, then 3 × $10. Four therapists on one calendar. If you also list two rooms as bookable resources, that is six bookable "staff" at the same flat rate each.

SMS reminders

Prepaid credits, $ per 100. They never expire. Email reminders are free and unlimited.

Deposits

Online deposits are not yet available in your region. Email and SMS reminders, plus client self-cancellation, do most of the no-show work in the meantime.

No marketplace commission

Nobody takes a cut of a booking made through your page, and your clients are your clients. The only per-transaction fee is on payments taken through TimeToBook, where that is available, and it includes card processing.

Is TimeToBook right for your day spa?

Simple on purpose. Here is who it suits best, and the few things we leave out.

A good fit if you…

  • Run a small day spa, wellness studio or massage and facial clinic with up to about six therapists
  • Mostly sell single treatments or two-treatment visits, booked by one person
  • Want online booking, reminders, deposits and client notes without per-booking commission
  • Have one or more treatment rooms you want booked as resources alongside your therapists

What we don’t do

  • Couples treatments booked online as one appointment with two therapists (take them by phone and enter two bookings)
  • Spa-day packages, memberships and gift vouchers sold through the booking system

Questions spa owners ask us

Can clients book a couples massage online?

No. TimeToBook books one therapist per appointment and cannot pair two therapists on one booking. Most spas list couples treatments as not bookable online, take them by phone or email, and enter two bookings at the same time. If every second booking is a couple, that is worth knowing before you switch.

How do I stop two therapists being booked into the same room?

Create the room as a bookable staff member that only offers the treatments done in that room, and give it the room's hours. Clients then effectively book the room, and it cannot be double-booked. Each resource is priced like a staff member.

Can I set a 15-minute turnaround after every treatment?

Yes. Buffer time is set per service and nobody can book into it, online or on the calendar. Set 15 minutes on most treatments and 20 on wraps and hot stone, where the reset takes longer.

Can a client book a massage and a facial together?

Yes. Clients add several treatments to one booking, TimeToBook works out the total time with buffers, and only offers start times where the whole visit fits with one therapist. There is no package price; each treatment is charged at its own price.

Can packages have a different cancellation window from single treatments?

No. The notice window (24 hours by default) applies to the whole spa. If you want 48 hours for packages and 24 for singles, set 48 hours for everything or handle the difference in your terms rather than in the software.

Do you sell gift vouchers?

No. TimeToBook has no voucher or membership feature. Spas on TimeToBook sell vouchers through their own website or a third-party voucher tool and redeem them manually, noting it on the booking.

Can I take a deposit on treatments?

Yes, with TimeToBook Plus where online payments are available in your region. A deposit is set per treatment, fixed or a percentage up to full prepayment, refunded automatically for cancellations inside your notice window and kept otherwise. There is a platform fee per deposit that includes card processing and no monthly fee for payments.
