A client's own bookings page
Every client has a private page listing all their appointments with you, past and upcoming, with a calendar they can subscribe to. How they get to it and what's on it.
Every client who has booked with you has their own private My bookings page. It lists every appointment they have with you, upcoming and past, and it's always up to date. From it they can subscribe to a calendar that keeps their phone in step with your diary, so a regular who books a year of appointments doesn't have to add each one by hand.
There's nothing to set up and no login. Each client has a private link, the same way each booking has its own Manage Your Booking link.
How clients get to it
There are three ways in, and they all lead to the same page:
- From any booking email. Every confirmation and reminder email ends with a See all your bookings link.
- From the Manage Your Booking page. The page a client reaches from a confirmation or reminder has a See all your bookings link at the bottom.
- By asking for it. A client who can't find an email goes to timetobook.com/my-bookings, enters the email address you have for them, and we email them their link. If that email has bookings at more than one salon on TimeToBook, they get one link per salon.
If a client asks you how to see all their appointments, send them to timetobook.com/my-bookings. The request page never says whether an email address matched anyone, so nobody can use it to find out who your clients are.
The link only works for the email address on the client's profile, so if they say nothing arrived, check the address on their profile in Clients and that you're not holding two records for them. See Managing clients for merging duplicates.
What clients see
- Upcoming appointments, with the date, time, services and who they're with. Cancelled appointments stay on the list marked Cancelled, so when something is cancelled and rebooked the client can see both. Bookings awaiting your confirmation are marked Awaiting confirmation.
- A Manage link on each upcoming appointment, which opens the same page as the Manage Your Booking button in their emails. The usual rules apply: see Client self-service cancellations and Client self-rescheduling.
- Past appointments, with missed ones marked.
- A Book another appointment button that opens your booking page.
- Your phone number, if your location has one.
If you have more than one location, the page shows which location each appointment is at.
Adding them all to their calendar
At the top of the page is Add them all to your calendar. Rather than adding each appointment one at a time, the client subscribes once and every booking appears in their calendar. New bookings, changes and cancellations then update by themselves.
- iPhone, Mac or Outlook: one tap subscribes their device to a calendar named after your business.
- Google Calendar: opens Google Calendar with the subscription ready to add.
- Copy link: for any other calendar app that accepts a subscription by URL.
Subscribed calendars refresh on the calendar app's own schedule, usually within a few hours, so a change you make might not show on the client's phone straight away. The web page itself is always current.
A client who already added appointments by hand from the "Add to calendar" links in their emails will see those twice once they subscribe, so it's worth suggesting they delete the hand-added ones.
What you see
Nothing changes on your side. The page reads from your calendar, so whatever you do there, including bookings you add or move yourself, is what the client sees. There's no setting to turn it on or off.
